About the Client
Our client is an accounting firm business based in the UK growing their existing offshore team to support their operations team. This role exists to support to Partners, Associate Partners and Directors allowing them to focus on the technical aspects of their role in addition to developing and guiding the EA team to success.
The Role
This role provides comprehensive administrative and coordination support to partners, associate partners, and directors, including diary management, travel arrangements, meeting organisation, and stakeholder liaison to ensure smooth day-to-day operations. It also plays a key role in supporting internal engagement, client feedback processes, data and record management, and the successful delivery of team and client events across the business.
What You'll Do
Proactively managing diaries for partners, associate partners and directors, liaising with internal and external stakeholders, along with booking meeting rooms and providing an agenda.
Assisting in general admin tasks for the team such as converting pdf documents into Microsoft word.
Organization of team update meetings, including arranging a team presenter, collating the update notes and recording the meeting.
Overseeing and compiling responses on the weekly hive survey, identifying the key themes and liaising with the leadership team on responses.
Ad hoc admin tasks from the partner, associate partner and director group along with their respective managers, including organizing team meetings, including meeting room bookings, lunches, breakfasts where applicable.
Managing & maintaining the travel inbox and arranging all travel across the team using our internal portal where possible, ensuring all sustainability insights are captured.
Reward hub allocation of vouchers and shout outs on the behalf of partners, associate partners and directors.
Organization of partner breakfasts, promotion lunches, newly qualified dinners.
Assisting with the collection of client feedback, working collaboratively with the marketing team and the partners/associate partners and directors.
Record management – updating and maintaining the databases across the business, dependent on partner/service line. (salesforce, iris, cch). working with the partners on wip lists, adding accounts, opportunities and managing the ‘dating game’. liaising with partners to manage debtor lists.
Capturing advocacy surveys from the client on behalf of partners.
Working with the marketing team to ensure we have the correct data
Organizing internal team events, dealing with suppliers, venue hires, catering and organizing travel. preparing slides and documents for the event
Ensuring all networking events are in the diary for the relevant teams such as awards dinners and drinks. completing all the necessary bookings for the events and liaising with external stakeholders to ensure relevant people are in attendance.
What We're Looking For
Experience in an Executive Assistant role, ideally within a regulated or professional services environment.
Great a building string working relationships.
Exceptional attention to detail and organisational skills.
Strong formatting skills
Ability to manage multiple cases simultaneously while following strict procedures.
Good time management skills
Clear written and verbal communication when requesting documentation or clarifying information with stakeholders/clients.
Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
Comfortable working with confidential information and following strict processes.
