About the Client
Our client is a tourism and transportation business based in New Zealand, growing their existing offshore team to support their marketing function. Operating multiple brands including Leisure Time Travel, Travel Time South Pacific, Pure Discoveries, and LTG Bus Services, they specialize in destination management, inbound group touring, coach charter services, and bespoke travel experiences. This role exists to provide critical administrative, CRM, and digital marketing support that helps keep marketing campaigns, client communications, and business operations running smoothly.
The Role
As a Marketing Assistant, you'll play a key role in supporting the Sales & Marketing team across administration, CRM management, email marketing, website updates, social media coordination, and campaign reporting. This is a hands-on role for someone who thrives in a fast-paced environment, enjoys working across multiple marketing platforms, and can balance operational support with digital marketing execution. Success in this role comes from maintaining organized processes, ensuring data accuracy, and helping deliver effective marketing initiatives across multiple brands.
What You'll Do
Administrative Support
Scheduling meetings, managing team calendars, organising files, and handling correspondence for the Sales & Marketing team.
Managing the inventory of marketing collateral and branded items, including liaison with external suppliers and agencies for production and distribution.
Coordinating advertising schedules, campaign timelines, and content workflows to ensure deadlines are met.
Supporting the planning and coordination of marketing events, trade shows, and promotional activities.
Compiling and distributing marketing resources for clients and partners in a timely and organized manner.
Ensuring operational manuals and procedures are maintained and up to date.
Providing general administrative support to the wider Sales & Marketing function as required.
CRM & Email Marketing
Maintain and update contact and company records in HubSpot, ensuring high levels of accuracy and completeness.
Support the growth and management of prospective and active client databases, including EDM (Electronic Direct Mail) subscriber lists.
Send templated communications to client databases as required by the Sales & Marketing team.
· Perform ongoing data hygiene activities including deduplication, merging records, and correcting incomplete or outdated information.
Support sales pipeline tracking and booking coordination within HubSpot, ensuring records reflect current status.
Work with HubSpot integrations including website forms, email marketing tools, and reporting dashboards.
Assist with list segmentation and contact management to support targeted marketing campaigns and communications.
Support the setup, scheduling, and management of email marketing campaigns using Mailchimp, including template creation, audience segmentation, and performance reporting.
Ensure consistency of data and subscriber lists across HubSpot and Mailchimp platforms.
Website Management
Update and maintain website content within WordPress, including loading blog articles, updating page copy, and managing imagery.
Create and manage landing pages to support marketing campaigns and lead generation activities.
Ensure all web content follows basic SEO (Search Engine Optimisation) and AEO (Answer Engine Optimisation) best practice, including appropriate use of meta titles, descriptions, headings, alt tags, and structured content.
Monitor website performance and flag any issues or opportunities for improvement to the Sales & Marketing Manager.
Coordinate with internal and external contributors to ensure timely publication of web content.
Social Media Management
Schedule and manage social media content across Facebook, Instagram, and LinkedIn using scheduling tools such as Loomly (or similar).
Maintain a consistent posting cadence aligned with the marketing calendar and campaign timelines.
Monitor social media channels for engagement, respond to basic enquiries, and escalate where appropriate.
Support the development of social media content in collaboration with internal teams and external contributors.
Track and report on social media performance metrics to inform ongoing content strategy.
Paid Digital Channels
Assist with the setup and management of paid advertising campaigns across Google Ads and Meta Ads (Facebook/Instagram), under the direction of the Sales & Marketing Manager.
Monitor campaign performance, flag anomalies, and carry out basic optimisation tasks such as adjusting budgets, pausing underperforming ads, and updating targeting parameters.
Compile regular performance reports for paid campaigns, summarising key metrics including impressions, click-through rates, conversions, and cost-per-acquisition.
Coordinate ad creative and copy requirements with internal teams and external agencies to ensure campaigns are launched on schedule.
Analytics & Reporting
Pull and interpret performance data across email marketing (HubSpot, Mailchimp), website (WordPress/Google Analytics), social media platforms, and paid digital channels.
Prepare regular marketing performance reports and dashboards to inform decision-making and identify opportunities for improvement.
Track campaign-level metrics and provide post-campaign analysis to support continuous refinement of marketing activities.
Maintain accurate and organised records of all campaign data and reporting outputs.
Systems & Tools: The staffwill be expected to work across the following platforms (all cloud-based, supporting remote collaboration):
HubSpot CRM (primary – contact management, email marketing, pipeline tracking, reporting)
Mailchimp (email marketing – campaign setup, audience segmentation, reporting)
WordPress (website content management – page updates, blog loading, landing pages, basic SEO & AEO)
Loomly or similar (social media scheduling and management)
Google Ads and Meta Ads (paid digital campaign setup, monitoring, and reporting)
Google Analytics (website performance tracking and reporting)
Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams)
Basic graphic design tools (e.g. Canva or similar for day-to-day collateral needs)
What We're Looking For
Technical Skills & Experience
Marketing degree or relevant qualification with experience in marketing or marketing administration.
HubSpot CRM experience is strongly preferred; familiarity with CRM data management and email marketing tools (including Mailchimp) is essential.
Experience working within WordPress to update content, load blogs, manage landing pages, and apply basic SEO and AEO best practice.
Hands-on experience scheduling and managing social media content across Facebook, Instagram, and LinkedIn, using tools such as Loomly or similar.
Working understanding of Google Ads and Meta Ads, including campaign setup, performance monitoring, and basic optimisation.
Comfortable pulling and interpreting performance data across email, web, and social platforms to inform improvements.
Strong administrative and data management skills with excellent attention to detail and accuracy.
Confident working across multiple digital platforms and cloud-based systems.
