About the Client
Our client is a Chartered Accounting and Advisory firm based in New Zealand, growing their existing offshore team to support their administration function. They provide accounting and business advisory services to a diverse client base and are committed to delivering efficient, high-quality client support. This role exists to ensure the smooth day-to-day operation of the practice by providing reliable administrative, operational, and client support to the wider team.
The Role
As a Junior Administrator, you'll play an important role in supporting the firm's daily operations through a broad range of administrative and coordination tasks. You'll work closely with the Practice Manager and wider team to maintain accurate records, manage client administration, coordinate schedules, and support internal processes. Success in this role comes from being highly organized, detail-oriented, proactive, and committed to delivering excellent administrative support.
What You'll Do
Provide day-to-day administrative support across the business
Prepare spreadsheets, reports, and other business documentation
Maintain organized digital filing systems and company records
Complete new client onboarding and ex-client exit processes using internal software
Support internal client marketing activities as required
Assist with Companies Office administration and ACC system management
Respond to general email enquiries and direct requests to the appropriate team members
Coordinate meetings, appointments, and business schedules
Enter and maintain accurate information across company databases and systems
Coordinate Inland Revenue (IRD) mail and assist with IRD Tax Agency administration
Support reconciliation activities and other finance-related administrative tasks
Assist with onboarding administration for new employees
Maintain confidentiality while ensuring compliance with company policies and procedures
What We're Looking For
Previous experience in an administrative or office support role
Strong proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint
Excellent organizational skills with the ability to manage multiple priorities
High attention to detail and accuracy in data entry and record management
Strong written and verbal communication skills
Professional phone and email etiquette
Ability to work collaboratively while managing tasks independently
Reliable, proactive, and eager to learn new systems and processes
High level of professionalism, discretion, and confidentiality
Nice to Have
Experience using Xero Practice Manager (XPM) or other practice management software
Experience working within a Chartered Accounting or professional services environment
Familiarity with client onboarding, compliance, or IRD administration processes
Experience supporting accounting or finance teams
