Our client is a UK-based professional services and accountancy firm known for its modern, entrepreneurial approach to traditionally conservative accounting services. It is recognized as a top 20 UK accounting firm, offering audit, tax, advisory, deals, and wealth management services to ambitious mid-market businesses across the UK.
The Role
We're looking for an organized, detail-oriented Executive Assistant to provide dedicated calendar and scheduling support to an executive or senior leader. This is an entry-level opportunity ideal for someone early in their administrative career who is proactive, discreet, and comfortable managing a fast-moving schedule.
What You'll Do
Manage and maintain the executive's calendar, including scheduling, rescheduling, and prioritizing meetings
Coordinate meeting logistics: booking rooms, setting up video calls, and confirming attendee availability
Proactively identify and resolve scheduling conflicts before they become issues
Send calendar invites, agendas, and reminders to internal and external participants
Track and manage the executive's daily/weekly schedule, flagging upcoming commitments and deadlines
Coordinate across time zones when scheduling with external stakeholders or remote teams
Maintain a master view of recurring meetings, blocked focus time, and travel-related scheduling adjustments
Communicate professionally with internal staff and external contacts to arrange meetings
Provide light administrative support as needed (note-taking, follow-up reminders)
What We're Looking For
0–2 years of administrative, scheduling, or office support experience (internships count)
Proficiency with calendar tools such as Google Calendar or Microsoft Outlook
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Ability to handle sensitive information with discretion
Comfortable working in a fast-paced environment with shifting priorities
Nice to Have
Familiarity with scheduling assistant tools (e.g., Calendly)
Prior experience supporting a manager, executive, or team lead
Basic proficiency with Microsoft Office or Google Workspace
